Waiting room kiosks

Does anyone care to comment on the feasibility of waiting room kiosks and design ideas which worked well or maybe more importantly which didn’t pan out at all? We are in the process of building a new waiting room and would like shared experiences on how you manage patient input to the EMR from the waiting room.

Is there a way that anytime a new medication is prescribe, the system automatically prints or emails the patient education materials about that medication? It not,m it would a be great automated feature and go a long way towards patient safety.

Social Workers and eCW

I just wanted to get some feed back about how other practices are using eCW in conjunction with social workers. They are not technically providers but resources.

We have social workers for literacy, treatment adherence, patient assistance programs, etc… These visits are not billable but we still need to track these visits somehow. We are currently having the social workers enter a new telephone encounter whenever they meet with a client. They add a CPT code so that we can keep track of how many times that CPT code is used-then they have to at another billing note to say to billing that it is non-billable. We were thinking about trying to use an intervention progress note type but it is just so many steps and isn’t even useful for recording the information we need. We just need a way for the social worker to note what they’ve done during this visit. Thanks in advance for any advice.

How to make emessages send with separate paragraphs

I just started using the Action Taken button to enter canned text to send an emessage to the patient regarding results.

I would like to separate thoughts into different paragraphs, much as I just did here. However, even if I type it in like this, eCW automatically runs all my sentences together when it sends to the patient.

Any character I can insert that will force it to make new paragraphs?

Thanks.

Medical Records Fax Workflow

I am currently working on a new workflow for our medical records and have run into some troubles with the Fax server Inbox.

Right now we are receiving mostly paper faxes and are having to scan them into ecw. We are also using the ecw fax server to receive faxes from the hospitals. I would like to run all our faxes through the fax server but have run into some problems, first off we have 4 people in our medical records and currently only one person uses the fax server to import faxes from the hospitals and the other 3 people scan in paper faxes.

If we move over to using the fax server only so they wont have to scan, how does your medical records keep track of what each person has done? I am trying to find a way so no one will be doing double work. Is there a way to add folders to the inbox? Can I use two Fax servers? Any input will be greatly appreciated/

Medical Record Exporting / Workflow

We have recently centralized our Medical Records and one person is now handling all patient and 3rd party requests. I would like to get feedback on workflows.

Our goal is to keep this process electronic. We currently utilize secure email, and we print to PDF, where the medical record is merged into one file and burned to a CD.

Can you burn a CD natively out of ECW by using the CCD export function; and even if can, I don’t think the CCD file type is usable to a 3rd party requestor.

Also, how is the process documented; meaning, when you print to PDF out of ECW, where is this documented so that there is record that medical records where printed on such-in-such a day?

Thanks for the help!

Classic vs. Registry alerts

I want to set up a system to remind patients when tests/procedures are due. Example: Mammogram for all female patients age 40-80.

Classic alerts allow for easy set-up, but reviewing results does not cause the alert to be automatically reset to a pre-set future date. Do I need to enter a ticket or is this one of the draw backs to classic alerts?

Does anyone use Registry alerts for this process? If so, what are the advantages?

Does anyone know how to add 99213 and 99214 pre-populated with modifier 25 as a choice under Visit Codes, E/M services?

I can see where in the administration section I can add a visit code as an item, but I do not see how I would be able to add the modifier. With all of the flu shots, this would save me hundreds of clicks.

I would also like to add some of the Medicare preventive services codes in the Preventive Medicine list.

Telephone encounters not saving data

Help, our telephone enocunters are not saving data. When I type in new info then hit “ok” or assign it to another person it comes back to me like nothing happened. It does not go to the other person, but stays in my box unchanged. I went thru this site looking for a similar report but have not found an error like this reported before, we have a ticket in but am posting this hoping someone else may have a quick answer.
We are getting very frustrated with these software errors! We have had a string of errors over the last 4 weeks that are not getting resolved. We keep getting told it is a “corrupt file.” Hoping to get a permanent fix soon.
