Prescritions being refused when fax splits information on two pages

Since we moved to a new fax server using an 8 port Mainpine board and M$ fax we have better stability of the system which is good. We have a new problem. Now when we fax out prescriptions the top part of the prescription which has the patient name and demographics is on the cover page and the balance of the prescription is on the second page. Many pharmacies are refusing these prescriptions because legally the whole prescription needs to be on one page. This means I can no longer use the fax server for a prescription. We must fax all controlled prescriptions.

Has anyone else encountered this problem? Does anyone have a fix?

GHOST IN THE MACHINE: Mysteriously moving documents and folders?

We have found that within “PATIENT DOCUMENTS” our documents move from folder to folder and sometimes disappear. Also, our folders move, disappear or duplicate on their own. It varies from user to user and computer to computer and even patient to patient. Anyone else encounter this issue?

Thanks,

Does ECW have a plan for replacing MODI? This has been removed from Office 2010, we will obviously continue to use Office 2007. The OCR function and being able to print a document to MODI (that is very easy to attach to a chart) are very nice features.

New FAX SERVER Experience

New fax server experience

I wanted to post my recent experience with establishing a new fax server with eclinicalworks. I should note that I have heavily reviewed the forums here regarding fax systems and eclinicalworks. I am the IT guy (and one of the docs) in our SEVEN provider group and take care of most hardware issues.

My old system was an XP Pro box with one phone line using a mainpine IQ express 2-port modem. It used faxman as the software. It was initially installed in October of 2009. Our group used this for OUTgoing faxes only. This worked fairly well, but was slow at times. Our peak volume was 250 faxes in one day, which is probably about 600+ pages. If someone sent a 20+ page fax, we would get behind, sometimes as much as 45 minutes to an hour of faxes in the queue.

After studying the information on the forum, I decided we needed an upgrade.

As recommended by Andrew Rinaldi, of mainpine, I followed some basic steps:

1. Buy a server
2. Install the modem
3. Install the modem drivers
4. Install the fax service
5. Have mainpine update the drivers, firmware and install IQFSP
6. Have eclinicalworks install their software (the hard part)

I began by purchasing a Dell T-110 server, 2.4 xeon processor, 2gb ram, server 2008 R2 foundation edition, about $650. I used an IQ express 2 port modem. The install of the board in the server is simple. Drivers were done by window update service. Turn on the fax service in the server manager.

Next, I had mainpine support connect to the server and update all the software, drivers, IQFSP, and firmware. This was a simple process. Email support, they actually get back with you, connect, and poof--your server is ready.

Then, comes the problem, eclinicalworks. We scheduled the install with eclinical, they connected and began to install their software to connect to eclinical. At first the technician was installing--FAXMAN--THAT WOULD BE WRONG. I had specifically asked for them to use the windows fax service which is part of the server 2008 software. I have since learned that faxman should never have been used. Once that was straight, eclinical had some trouble installing, but eventually got things working fine (24 hours). Not sure what could be so hard about installing in a NEW server.

The result: This new system is FABULOUS. We now have two outgoing lines. Each line can transmit at up to 100 kb/min, or up to 3 pages per minute. Our transmission rate has increased 4 to 6 times. Now we don’t have any transmission failures **(see below), There is virtually never a backlog, the fax outbox on eclinical displays all green. We get more information about the fax status. The server has more information also.

Our only “failures” now are wrong fax numbers entered by our staff.

I have read that some are concerned about the cost of a mainpine modem; they are expensive. However, you get what you pay for. It works, and--you get real support, from real people. I can not say enough good things about the company, their modem, and their support.

I also noted that it is quit SIMPLE to change the default fax cover page on server 2008 R2 foundation edition. We now have a custom cover page with all of our physician’s names, the practice name, etc. You can find information in these forums.

One glitch with eclinicalworks was related to the server’s hardware specs. They wanted more than I had--they wanted 2.6 mHz and 4 gb ram. I had to sign a waiver about not meeting their hardware specs. My server is WAY more than you would ever need for JUST faxing, not sure why eclinical is so stubborn and clueless.

You also need to be sure to change the margins on your Microsoft Internet Explorer on the server. Apparently, the fax printer used by elinicalworks, uses IE’s page print margin settings to “print” the faxes. I have mine set to 1/2 inch all the way around and the faxes look good.

Your comments and questions are appreciated.

**After the install, we had one pharmacy that just would not maintain a connection with our fax server. I emailed mainpine support, they promptly checked on the problem, made an adjustment in the IQFSP software, and again POOF. No problems.

All faxes for the day go to ‘pending status’

See attachment

Is this happening to anyone else? every week or so, all of the faxes we sent for the day change from completed status to pending, and start resending. I have to log on to the fax server and cancel them all as they try to (re)send. I’ve opened tickets on this, and have not yet got an explanation that made sense to me.

Remove Fax Server from Domain

First of all, I want to say that this Mainpine thing is great! Like others on this forum, our USR worked for about 4.5 years, then started failing on about every 3rd outgoing fax. We bought the Mainpine 1 port as instructed for ~$380, dropped it into the same Dell Optiplex we used to run the USR on and eCW was able to complete the installation the same day it was delivered to the office. The outbox went from lots of red to lots of green instantly. We love that we don’t have to make sure Faxman is running and this has also resolved some issues we were having where we would get only the first page of a fax five times from certain places.

I think I saw Dallas Crandall mention that it’s best to have the fax server off of the domain. This makes sense to me because then nobody has to log in after something like a power failure overnight. Is this the recommended best practice? Would eCW or Mainpine help me do this? Do you then have to go to each client individually and map out the appropriate shared folders? Thank you for any help you can give.

Multispecialty Group - Two Clinic Locations - Two Incoming Fax Numbers - One ECW Database

Does anyone have a suggestion for a multispecialty group who has two clinic locations and, therefore, two incoming fax numbers? The clinic shares a common ECW patient database & application/license. Seems like the only alternative is to centralize inbound fax management (e.g., have a designated individual responsible for routing faxes to the correct provider at the correct clinic location).

Any other alternatives? Referring physicians already have both inbound fax numbers.

Many thanks!

MODI Error - Using Office 2003

In our practice, we have one user that has problems with documents and the MODI viewer.

For troubleshooting, we have done the following:
Reviewed permissions for the folder (full permissions granted)
Re-created her user profile on our network
Re-created a new user in eCW
User with no issues logged into pc, user with MODI error logged into ecw-Still gets error message
Brand New PC-with a fresh image- still gets the error.
Assign her to a new printer- still gets the error

Here is what is happening. She goes to the D jelly bean and clicks on a document assigned to her (normally from the fax inbox) she single clicks to open the document, she single clicks on view, this opens the MODI for viewing only. Next, she clicks on the Print Icon.

Most times, the document will print with no issue and she’ll finish up with her timestamp, etc. Occasionally, she will get the error message that says:
Microsoft Document Imaging has encountered a problem and needs to close. We are sorry for the inconvenience.
The error is checked to Restart MODI, so she says “don’t send” closes the MODI screen, and clicks view again on the document and it all works fine…

Any ideas of something we may have missed? It happens multiple times a day.

Thanks in advance for your suggestions!
