We are in the process of implementing eCW’s Physical Therapy Module. Right now we have it in our Train environment and are conducting testing. We were wondering if anyone would be willing to share PT Evaluation Templates and Exercise Flowsheets that you have built in your system and PT’s are using successfully? This will help our PT’s visualize and practice the workflow with real templates, or give them a starting point. Our PT’s are coming from paper so the concept of templates and creating templates is overwhelming them a bit!

Medicare—IPPE and AWV Templates

Does anyone have most current templates for IPPE and AWV? I looked at the eCW templates and they don’t have the PHQ2/PHQ9, Tobacco, or PRAPARE intergrade into their templates.

line breaks in HPI section of note?

How do you get a line break between different fields of structed data in a template (see attached example)? I haven’t been able to figure this out. We have it in some existing templates, but unfortunately have been unable to re-create. Currently using version 11e.

It was suggested that under user settings to change “display style for structured data elements in progress notes” should be set to New Line, but that doesn’t seem to help.

eCW removes the blank lines and carriage return/line feeds in my procedure notes/templates

I’m trying to create templates for my procedure/op-notes. I have them in document form on google drive so at first I’ve just been copy/pasting them but I also want to build them into full templates.

When I copy and paste the procedure note into the bottom text-entry window or browse window in the Procedures section it looks correct on that screen. But once you exit and view the note on the main unlocked progress note screen or a print preview of the locked note, it removes all the blank lines from my procedure note, which makes it harder to read. It doesn’t matter if I use completely blank lines or put spaces or tabs on them, it still takes them out in the final version. The only workaround I could come up with, that’s not very visually satisfying, is to put one small printable character, like a period, on each line that I wanted to be empty.

Worse yet: when I tried instead to paste the procedure note into one of the free-form Notes fields in the upper template-building section (where it has the headings Organ and Notes), at first it looks OK with blank lines and all formatting intact, both in the editing window and on the unlocked progress note screen. But when I do a print preview of the locked note, this time it has removed not only the blank lines, but also ALL of the carriage return/line feeds, so the result looks like one ridiculous unintelligible paragraph.

I guess that I could use one Organ & Notes field for each paragraph of my procedure note with the paragraph header in the Organ field, but I’m not sure if that will really achieve the formatting I need either.

It doesn’t seem to do this de-formatting behavior in the HPI or Treatment sections, how come it does in the Procedures section, and are there any more acceptable workarounds? Is the Procedures section meant for some other purpose than I’m trying to use it for, and would my procedure note be better off in the Treatment section or another one?

SFTP Endpoint for eBO

eCW provides integration of an SFTP endpoint for eBO that allows clients to schedule eBO reports to be provided SECURELY to an managed SFTP endpoint. This function is useful for daily reports, dashboard updates, submitting COVID-19 test data to our State, disaster preparedness (like offline appointment schedules), and many more reasons.

Recently eCW switched from a one-time $600 charge per endpoint to a $100/month/SFTP endpoint - what I believe to be a play for an additional revenue stream.

After submitting some new SFTP endpoint requests (some weeks ago) we received the following message today from eCW:

“Can you confirm what report data will be transmitted from eBO to the sFTP end point ? eClinicalWorks updated its security policy a few months ago wherein report transmission for only eCW authored reports will be supported via sFTP. If you have a report already built yourself it will have to be reviewed by our report developers and rebuilt as per our protocols. There will be an additional fee associated with development.”

I am a certified HIPAA professional, certified eCW installer and eCW data schema trained.

Is anyone else familiar with this unannounced security change?

Does anyone else think this is an unfair restriction of access to the data maintained by the eCW customer?

Can we create our own Smart forms? Our only eCW they charge for every single one.
