Greetings-
We have been on eCW for nearly 20 years and have some workflows that have begun causing some mild issues. Specific example:
In a Lab or DI order, our staff would typically timestamp in the Notes section that the order was transmitted to XYZ lab or Radiology group (we have more than one), or that blood was drawn with butterfly, and several other “administrative” type notes that we use for a variety of reasons.

With more and more patients and providers utilizing the portal to communicate information on results and such, we have found that the timestamp information that is not pertinent to their result or care makes it confusing and often important information is delayed in getting to them.

For this reason, we have opted to move our “non care/non result related” communication to the Internal notes. This includes things like….drawn, shielded, transmitted, left message to call, and a plethora of other things. That way, the notes section is clear to the patient and anyone else that looks at it when it reads, say…. TSH was elevated, please adjust your synthroid to XX dose. A new prescription was sent to your pharmacy… or whatever it may be.

The issue we are facing right now is, the Common Send screen doesn’t offer that wonderful Internal Notes - Apply All like it does for the regular notes. While we have only been using the web version with that common send for around 2 years, and the workflow for using internal notes is what staff had when we were on the exe, as much of a struggle as it was to get them to use the “Apply All” feature, well, now it is extremely difficult to live without it.

My question is, how do other practices document things like a lab was transmitted, or that Jane drew the blood but Sherry performed the test and entered the result?

I would be very interested if you rely on the tools that are there (Interface Status, User Logs, etc) for those types of things and just, in general, how does your practice use Notes vs Internal Notes on orders?

Thanks!

Has anybody else experienced this with the L Jellbean? Have you found settings either personal or practice that can help with performance?

I’d like to know some other best practices for naming conventions for your orders.

When I first came on board to my practice, I noticed they had included the CPT code of a Lab/DI order in the actual name of the order. As CPT codes tend to change, I began to move away from this practice and excluded them from the naming convention. So that “MRI Brain W/O (70551)” would instead be just “MRI Brain W/O”. I advised staff they should include any necessary clarification beyond the name in the Clinical Notes section.

Is it a good idea to leave out the CPT code in an order name? Does it matter? Am I being too stringent?

After some computers updated to Chrome 128.0.6613.85 those computers are no longer able to print Lab Reqs from the common send window. If you use the print preview it just shows a blank screen.

According to eCW this Chrome update did in fact break this functionality.

The work around eCW has given us is to print the lab order using the Lab order screen.

This is acceptable when there is only 1 lab, but when a patient has 8 labs this can get cumbersome. This is greatly slowing down are staff. I did suggest using the keyboard shortcuts, but I’m still being asked for something more efficient.

Has anyone found a more efficient work around?

Thanks in advance.

We need to update MRI AOEs but as of now the only way I know to do it is manually. It’s hard and time consuming to go into each order and make the current AOE inactive and add the new questions. I would like to know if anyone has a quicker way of doing this? I opened a case with eCW and they don’t have anything. I asked them if they could do it using the db server but nothing yet. I feel like there should be an easier and better way.

We added AOE to our MRI and CT orders because this was the only way for information to show on the requisition (without taking all the notes section).

Our process—provider orders the CT or MRI. MA asks the AOE questions and electronically faxes the order to the hospital. We don’t interface with them. We also print a copy for the patient.

Thanks!
